A more important question than cost is: what does a race organizer actually do? Proposals often list only a number without detail on the components. Understanding the service breakdown helps you evaluate value for money and ensures there are no gaps in event planning.
The first phase is planning and initial consultation. The organizer conducts a detailed event brief with you, runs a feasibility study (route, location, permits), drafts a comprehensive Rencana Anggaran Biaya (RAB), and sets the work timeline from now through event day.
The second phase covers permits and inter-agency coordination. This is complex administrative work: police permits for traffic, coordination with TNI for security, transportation authority permits, environmental agency notifications, and in some cases health permits from the relevant agency.
The third phase is course design and venue management. The organizer produces an optimal route design, conducts on-site surveys, plans traffic management, designs the finish area layout with consideration for spectators and sponsors, and arranges venue details such as parking and emergency access.
The fourth phase is registration and participant management. This includes setting up a user-friendly online registration platform, secure database management, race pack preparation (bib design, bib number printing), and ongoing communication with participants via email and mobile app.
The fifth phase is chip timing and the results system. The organizer provides an RFID-based timing system with mat sensors at start and finish, integrated software for real-time results processing, and publication of results to mobile app and website within minutes of race completion.
The sixth phase is production and merchandise. This covers BIB ordering (quality bibs with accurate numbering), medal design and production, event apparel (for participants or crew), race pack materials, and digital finish certificates delivered to participants post-event.
The seventh phase is medical management and safety. The organizer recruits and positions medical teams along the course, provides medical equipment (defibrillators, oxygen, first aid kits), establishes emergency protocols, and runs real-time WBGT monitoring to prevent heat-related incidents.
The eighth and ninth phases cover marshaling and field personnel as well as marketing support. The organizer recruits, trains, and positions marshals at strategic points, provides volunteer coordinators and registration staff, and manages the marketing campaign if agreed (social media, media relations, influencer outreach).
The tenth phase is post-event management. The organizer processes and publishes final results with full detail, compiles a comprehensive event report, manages venue cleanup, and conducts an event evaluation to inform future improvement.
What is typically NOT included in a standard package: hotel and catering for participants, entertainment or live music at the finish line, event insurance (this is usually carried by the client), and partner or sponsor activations that require dedicated crew.
